Minutes of the July 2, 2009 Regular meeting of the Clearfield Aquatic Club

Scheduled for 6:30 at the Clearfield Community Pool, the meeting was moved to Legends Sports Bar due to bad weather closing the pool.  The meeting was called to order at 7:00 PM by President AJ Coval.

Members Present: Lisa Coval and Sheila Matten

June minutes: not available and passed until the Regular September meeting.

Treasurer’s report: presented by AJ Flanagan; accepted as read.

Committee reports:
Splash for Cash: ribbons and awards ordered and received; Joan McMillen is acquiring door prizes; AJ Flanagan, Joan McMillen and Lisa Coval are accepting entry forms and t-shirt orders; Donation to Community Pool Board - $200; Community Pool Concession stand will be open, they are not asking the swim team for donations this year; the club does not have to arrange for lifeguards this year as the pool will remain open and will have lifeguards on duty.  The deadline to order t-shirts is Monday, July 6, 2009.  These are available to everyone, not just the swimmers.

Fundraisers:
·The ham and cheese sandwich sale made $1023.43 in sales and donations with a portion of that money yet to be deposited into the club account.  Gio’s is working with us to come up with a family meal coupon deal similar to Sheetz’, no commitment has been made.
·The Volunteer Pays program at Wal-Mart: the Swanson and Beitz families are both in the process of finishing up paperwork for this program; each volunteer, upon completion of required hours and paperwork receive $250 from Wal-Mart for Club use.  These funds, possibly totaling $1000, will be earmarked for training equipment and entry fees.
·AJ Coval will look into web site sponsorships. 

Unfinished Business:
Fair Booth: AJ Coval will contact Alan Roseberry about the lot rental.  The club is willing to forfeit the $350 lot down payment made last August.  To avoid loss of the complete lot rental fee of ~$1100, AJ Flanagan moved that the club keep the lot for this year if the Fair Board holds us to our contract.  The motion was seconded and passed unanimously.  There is the possibility of selling raffle chances Fair week.  The trailer must be moved from storage in the Poultry Barn prior to Fair week.  The club will salvage some supplies from inside the trailer that can be used at its concession stand.  Other items and the trailer itself may be purchased from the club.  Barring any other purchase, the club will sell the trailer for scrap.  The club may donate lumber and the sink top for use in the barns during Fair week was mentioned.  There may be a special meeting called to complete any Fair Booth business.

New Business:
Budget Committee: Assigned to the budget committee are Treasurer Betsy Durandetta, coach representative Yvonne Lehman, and general member representative Sheila Matten.  They will meet at a time convenient to them and prepare the 2009 - 2010 budget to be presented to the membership at the Regular September meeting.
There were no coaches requests presented.
There being no further business to come before the meeting, the meeting was adjourned at 8:05 PM.
